A safe review sequence for blurry text, uncertain dates, damaged pages, conflicting amounts, and other document details that should not become an automatic deadline.

What should you do when a document scan is unclear?

Do not schedule an uncertain date or amount. Improve the capture, rescan the useful page, and compare every proposed field with the original. If the document itself is ambiguous, contact the sender. Handled marks unclear details for review and will not confirm them or create a commitment on its own.

Decide whether the capture or the paper is unclear

A blurry image, shadow, cut-off edge, glossy reflection, or folded line is a capture problem. Small print, contradictory dates, missing terms, or a phrase such as “within 30 days of receipt” may be a source problem. The remedy depends on which one you have.

For a capture problem, flatten the page, move to even light, hold the iPhone parallel, and include the whole field. Apple’s scan controls support manual capture and corner adjustment when automatic capture does not frame the page correctly.

Review the fields with the highest consequence first

Start with the date, amount, and action. Then check the sender and any reference needed to identify the correct account or form. A recognition error in decorative text is rarely as important as a dropped digit in a due date or decimal point in an amount.

Handled makes uncertainty visible rather than quietly promoting the field to a confirmed deadline. Treat “Needs review” as a stop state. Correct the field only from evidence on the page or a verified source from the sender.

  1. Read the original field without looking at the proposed result.
  2. Compare each digit, month, and action word.
  3. Rescan if the capture hides part of the field.
  4. Contact the sender if the original document is ambiguous.
  5. Confirm only after the destination and timing are also correct.

Never turn a plausible guess into a commitment

A plausible date can still be wrong. A notice issued on July 1 may require a response by July 15, July 31, or a number of days after delivery. The nearest or most prominent date is not automatically the deadline. Read the instruction that connects the action to the date.

If you need a temporary prompt while verifying the document, label it explicitly as a review task rather than the actual due date. That keeps a guess from becoming a false statement in Calendar or Reminders.

Use confirmation as the final quality check

Before writing outside Handled, the confirmation screen shows the proposed title, deadline, destination, and exact alarm times. Read that summary as if you had typed it yourself. The destination can be wrong even when every extracted field is correct.

Nothing is written until you tap Confirm. If the scan never becomes trustworthy, cancel the proposed commitment and use the sender’s verified information to create the task manually.
